IAVS Committee Position — Event Coordinator

  • Liaises with Social Media Coordinator, Blog Editor, Newsletter Editor, and IAVS Committee to promote events
  • Collaborates with Web Administrator to post details and recordings of events, including conference talks
  • Collaborates with Research Lab Coordinator as appropriate
  • Takes initiative in developing new events (ideally at least one per year in addition to the annual conference)
    • Events must prioritize vegan sociology, community-building, and knowledge and/or skill development for scholars of all levels
  • Point of contact for the annual conference
    • Collaborates with IAVS Committee in creating a call for papers and works with Social Media Coordinator and Newsletter Editor for effective promotion across activist, scholarly, and sociological channels
    • Coordinates with IAVS Committee to design promotional materials (eg. conference logo)
    • Collects and collates submissions for annual conference in Google Drive, deferring to the IAVS Committee for final decisions of acceptance
    • Contacts authors with final decisions and fields any questions from presenters
    • Takes note of any presenters who do not wish to be recorded
    • Creates Eventbrite page to manage ticketing and zoom access for presenters and attendees
    • Creates Zoom event (or liaises with IAVS Committee to ensure subscription is available and appropriate)
    • Populates annual conference schedule, submits to IAVS Committee for final approval, and ensures it is posted on website and distributed to presenters and newsletter subscribers
    • Collaborates with IAVS Committee to develop a business agenda
      • Works with Social Media Coordinator and Newsletter Editor for dissemination, allowing opportunity for community contributions to the agenda (June-August)
      • Works with Web Administrator to ensure a finalized version of the business meeting is available on conference website by October
    • Identifies appropriate chairpersons to manage panels during conference
    • Coordinates with presenters and panel chairs to ensure everyone is familiar with the conference procedures and expectations
      • First point of contact: notification of acceptance or rejection (June)
      • Second point of contact: notification of procedures and expectations (July-September, following finalization of schedule)
      • Third point of contact: reminder of event and procedures (Beginning of October)
    • Ensures talks are recorded in zoom
    • Takes notes at business meeting and feeds back to IAVS committee
    • Collaborates with IAVS Committee to develop next year’s theme and structure
    • Collaborates with Web Administrator for post-conference promotional efforts
      • Ensure last year’s conference is properly archived (Nov-Dec)
      • Ensure website is updated with next year’s theme and call for papers (Jan-Feb)
    • Compile a short summary of the conference proceedings for distribution in social media and newsletter channels (or recruit a volunteer to assist) 
  • Coordinates the Attends IAVS Committee meetings only as needed (maximum 4 per year)
